Meet Volunteer Position Descriptions
- Announcer– The home team provides the announcer. The announcers keeps the meet moving and is responsible for making welcome announcements and important meet announcements. They announce each event and, at A meets, each swimmers in each event. The announcer plays music before, after and during breaks in the meet. They also announce instructions, half time and final scores and records.
- Automation Computer Operator (experience necessary)– The home team provides the computer operator. The computer operator will use MCSL software to record swimmer times and heat scoring and then print ribbon labels, event score sheets and the final meet summary.
- Automation Scorer & Verifier (no experience necessary)- Helps the computer operator with organizing the score sheets and reviewing the computer data for accuracy.
- Deck Marshal – Helps keep people out of areas of the pool that are for swimmers, coaches and officials only. (You get to wear a bright orange vest!)
- Head/Assistant Head Timer – The home team provides the head timer. Head timers tell timers to “clear your watches” and signal the referee when the timers are ready for the next event.
- Parking Marshal - Collects parking passes and/or manages traffic in the PW parking lot. (Usually only needed if we are hosting a multi-team meet like Divisionals or Relay Carnival)
- *Referee (certification needed) - The home team provides the referee. They are responsible for running the meet. They are the final arbiters of all decisions and questions regarding the meet. They sign off on all stroke and turn violations. Referees work directly with the starter, stroke and turn officials, timers, coaches, and team reps. During “B” meets, divisional and relay carnivals, extra referees may also be used to help with stroke and turn violations at the opposite end of the pool to keep the meet running smoothly. Referees must be certified as a stroke and turn official.
- Ribbon Writer – Both teams provide one. During A & B meets, the ribbon writer places labels on the correct ribbons and then separates them by team.
- Runner – Both teams provide one. Runners are responsible for collecting all time sheets from timers and cards from officials at the end of each event and taking them to Automation.
- *Starter (certification needed) - The visiting team provides the starter. The starter is responsible for starting the event (sounding the horn), announcing the event to the swimmers and making sure the start is clean. Starters must be certified as a stroke and turn official.
- *Stroke and Turn Official (certification needed) – Both teams provide two at all meets. Stroke and turn officials observe all starts, finishes, turns and strokes. Stroke and turn officials must have good eyesight and be knowledgeable of correct stroke and turn technique. They must be fair and impartial.
- Timers – Both teams provide nine timers. Timers are responsible for timing and recording events. Timers are not responsible for stroke and turn violations.

MCSL provides formal training and certification for
Stroke and Turn Officials, Referees and Starters. To become certified, you must attend one of
the league’s training sessions listed below and must renew your certification
every two years.

Swim Team Committee and Coordinator Position Descriptions
- Swim Team Representatives (A, B and PreTeam) - Team representatives are responsible for managing and coordinating all activities for the swim season. Potomac Wood's reps attend monthly MCSL meetings in Rockville from January through July, ensure that key volunteers are in place for all positions, interview and hire the coaching staff, and make decisions as necessary to ensure the team runs efficiently. The reps coordinate regular season and major meets (Relay Carnivals, Coaches Long Course and Divisionals) with other reps in the division. For both A and B meets, the reps ensure that the necessary preparations, supplies and volunteers are ready at the start of the meet. The reps work and consult with the coaching staff, pool board and swim team committee and coordinators on all matters as necessary relating to swim team operations. Reps are the primary point of contact for all parent concerns.
- Registration - Updates online registration forms, collects payments for swim team and preteam, activates/reviews online registrations, prepares team roster, and forwards payments to Pool Treasurer.
- Head of Officials – Manages the PW team of starters, referees and stroke and turn officials. Ensures all official positions are filled at swim meets. Communicates with current PW officials when it is time to recertify. Recruits future officials.
- Automation - Primarily responsible for operating computer and team software to prepare meet entry sheets and to record swimmer times and heat scoring at home meets. Prints meet program. Prints ribbon labels, event score sheets and final meet summary.
- Awards – Organizes, inventories, maintains and orders bulk awards (letters, pins). Orders awards (plaques, trophies) for Swim Team banquet.
- Banquet Coordinator – Uses a budget to secure a venue for the Swim Team Banquet, selects the food/drinks, decorations and entertainment, collects payments and forwards to Team Treasurer.
- A and B Meet Hospitality: Set up, organize and clean up food and drink donations for all meet volunteers to enjoy at the halftime break. B meet hospitality coordinator would also purchase (with reimbursement) sub sandwiches for volunteers. Keep a cooler stocked with ice and water near start the end of pool for volunteers.
- Photographer: Responsible for taking pictures of the team and its members at meets and events throughout the season. Upload, organize and manage photos on PW’s Smug Mug site. Creates a slideshow/video tribute for the Swim Team Banquet at the end of the season.
- Swim Team Snack Bar Coordinator: Manage concessions area set up, operations and clean-up throughout the meet. Along with a couple of helpers, the coordinator ensures that, coolers are filled with ice, sodas and water, and food is prepared and displayed in accordance with food safety standards. They also ensure that the concessions helpers are on task with sales and re-stock from inventory, and that concessions operates cleanly and efficiently. The snack bar coordinator will stock the snack bar with foods to sell at Home A and B Meets – donuts, bagels/cream cheese, Chick Fil A, pizza, coffee/creamer, etc. This position will involve coordinating with the Pool Snack Bar Coordinator and shopping at COSTCO to stock up on paper goods, fresh, frozen and packaged foods and drinks to sell at the snack bar.
- Spirit/Socials – Works with the PW Assistant Coaches to establish team social activities/events and meet themes. Uses a budget to purchases supplies and decorations for activities/events (reimbursed by pool treasurer).
- Team Apparel and Merchandise Coordinator – Designs apparel and merchandise items (Team t-shirts, sweatshirts, caps, car magnets etc.) for the team to purchase online prior to the season. Selects a new team suit every other year. Researches vendors, negotiates pricing, timing and ordering logistics. Coordinate fitting session for the team. Facilitate orders and order fulfillment with selected vendor. Ensure timely delivery to team members.
- Team Breakfast Coordinator - Organizes and hosts a weekly breakfast every Friday morning at practice for all swim team and preteam members. Solicit breakfast food donations from local restaurants/grocery stores. Utilizes volunteers to set up, clean up, grill, package and collect money from attendees.
- Team Lunch Coordinator - Coordinates lunch following each home “A” meet. Orders/Purchases food. Utilizes volunteers to set up, clean up, grill, package and collect money from attendees.
- Volunteer Coordinator – Monitors meet and event volunteer positions to ensure that they are filled. Solicit volunteers as necessary. Tracks family volunteer points, sends reminders of points needed, collects point payments, if necessary
